Project Administrator for our Field Services department at our Project Site located in Ft McMurray

Responsibilities Outline
The Project Administrator is responsible for the coordination of all Project related administration.
The Project Administrator responsibilities include various clerical functions and ensuring that all relevant financial and accounting information, data and reports are accurate, prepared in a timely manner and available to the relevant, authorized individuals and head office. The Project Administrator is responsible directing inquiries to the appropriate channel.
Key Accountabilities include, but not limited to:
Administrative
- Collection and preparation of project related reports.
- Maintenance of databases as required.
- Direct all inquiries to the appropriate party.
- Coordination and scheduling of all project management meetings and conferences.
Operations Reporting
- Coordinating the preparation and reporting of monthly Project Operating Results.
- Coordinating the preparation of weekly Project status reports.
- Coordinating the preparation of monthly and quarterly financial reports.
- Preparation of other operational reports as required (i.e. manpower reports, job cost reports, labour cost reports, etc.).
- Coordinating the alignment and standardization of financial and job cost reporting.
- Coordinating the preparation of project monthly, quarterly and annual cost reports
- Preparation of monthly, quarterly, and annual project overhead cost reports.
- Preparing contract Daily Reports for the client -outlining labour, equipment, and daily progress
- Invoicing (LEM) - The Project Administrator will coordinate all invoices through the Oncore system, ensuring that all outside sub-contract work is invoiced on a regular basis. Compiles all invoice numbers for month end indicating what has been invoiced and accrued for the month.
Contract Administration
- Advising senior management on organization and review of contract deliverables (documentation, information, back-up, etc).
- Advising senior management on commercial issues relating to contract milestones and progress payments.
- Reviewing and advising senior management on legal issues.
- Administering resolution of contract disputes.
- Advising and ensuring that the Company and customer comply with all contractual wording and intent.
- Resolving contractual issues with vendors.
- Organizing, coordinating and administering claims for milestones or progress payments, contract extras or credits and any other commercial issues.
Knowledge, Skills and Experience Attributes:
- A minimum of 5 years administrative/clerical experience including accounts payable and receivable administration.
- Good communication skills.
- Sound knowledge of computer software such as Word, Excel, Access, Oncore, and JD Edwards.
Qualification Requirements:
- Minimum grade 12 education.
- Business administration or equivalent accounting certificate or diploma preferred.
