Purpose
 
The Executive Director is responsible for the successful leadership and management of the organization according to the strategic direction set by the Board of Directors.$
 
Reports To: Board of Directors
 
Primary Duties and Responsibilities
 
The Executive Director assumes and performs the following:
 
Leadership

  • Participate with the Board of Directors in developing a vision and strategic plan to guide the organization.
  • Work with the board to develop and improve Foundation documents, such as the Case Statement, Volunteer Recruitment, Marketing and Fund Development plans.
  • Identify, assess and inform the Board of Directors of internal and external issues that could affect the organization.
  • Act as a professional advisor to the Board of Directors on all aspects of the organization’s activities.
  • Foster effective team work between the Board, the Executive Director and staff members
  • Act as primary spokesperson for the organization.
  • Conduct official correspondence on behalf of the Board as appropriate and jointly with the Board when appropriate.
  • Represent the organization at community activities to enhance the organization’s community profile.
  • Operational Planning and Management
  • Develop an operational plan incorporating goals and objectives that work towards the strategic direction of the organization.
  • Ensure that the operation of the organization meets the expectations of its clients, Board and funders.
  • Oversee the efficient and effective day-to-day operation of the organization.
  • Draft policies for the approval of the Board and prepare procedures to implement the organizational policies; review existing policies on an annual basis and recommend changes to the Board as appropriate.
  • Ensure that personnel, client, donor and volunteer files are securely stored and confidentiality is maintained.
Program Planning and Management
  • Oversee the planning, implementation and evaluation of the organization’s programs and services.
  • Ensure the programs and services offered by the organization contribute to the mission and reflect the Board’s priorities.
  • Monitor the day-to-day delivery of the programs and services of the organization to maintain or improve quality.
  • Ensure that programs, policies and activities comply with standards and legislation involving minors.
  • Oversee the planning, implementation, execution and evaluation of special projects.
  • Maintain accurate records and ensure program data collection.$0 $0Evaluate programs regularly in reference to their outcome measures.
Resource Planning and Management
  • Determine the staffing requirements for organizational management and program delivery.
Determine volunteer needs.
  • Oversee volunteer recruitment, screening, training, retention and recognition.
  • Oversee the implementation of human resources policies, procedures and practices, including job descriptions.
  • Establish a positive, healthy and safe work environment in accordance with all appropriate legislation and regulations.
  • Recruit, interview and select staff that have the right technical and personal abilities to help further the organization’s mission.
  • Accurately screen new staff members.
  • Ensure that all staff members provide updated criminal records checks on an annual basis.
  • Ensure that all staff members receive an orientation to the organization and that appropriate training is provided.
  • Seek out and ensure staff members have access to training and upgrading opportunities.
  • Implement a performance management process for all staff members. This includes monitoring staff performance on an on-going basis and conducting an annual performance review.
  • Coach and mentor staff members as appropriate to improve performance.
  • Discipline staff members when necessary using appropriate techniques.
  • Release staff when necessary using appropriate and legally defensible procedures.
  • Act as a liaison between staff member concerns and the Board.
Financial Planning and Management
  • Work with staff members and the Board (Finance Committee) to prepare a comprehensive budget.
  • Work with staff members and the Board (Finance Committee) to prepare a fund development plan focused on both short and long term sustainability.
  • Work with the Board to secure adequate funding for the operation of the organization.
  • Research funding sources.
  • Conduct follow-up activities to grants and funding.
  • Oversee the development of fundraising plans and write funding proposals.
  • Ensure donors are recognized and thanked.
  • Participate in fundraising activities as appropriate.
  • Approve expenditures within the authority delegated by the Board.
  • Assume payroll responsibilities
  • Ensure sound bookkeeping and accounting procedures are followed.
  • Administer the funds according to the approved budget and monitors expenditures.
  • Ensure the organization complies with all legislation covering taxation and withholding payments.
Community Relations and Advocacy
  • Communicate with stakeholders to keep them informed of the work of the organization and to identify changes in the community served by the organization.
  • Establish good working relationships and collaborative arrangements with community groups, funders, political and other organizations.
  • Participate in community coalitions of which the organization is a part.
  • Conduct marketing and public relations related interviews.
  • Promote the programs and activities of the organization in the local media on a regular basis.
  • Ensure the marketing plan activities are followed and the plan updated regularly.
  • Establish strong relationships with youth and youth groups to grow the organization.
Risk Management
  • Identify and evaluate risks to the organization’s people (clients, staff, management, and volunteers), property, finances, goodwill and image.
  • Implement measures to control risks.
  • Ensure that the organization carries appropriate and adequate security coverage systems.
  • Ensure that the Board and staff members understand the terms, conditions and limitations of security coverage systems.
