The Position
 
On behalf of our client, one of Canada's largest integrated energy companies, we are currently looking for Site Administrators to work in the Fort McMurray area, including on site at the Kearl Lake Imperial Oil Project.  The ideal candidate will have a well rounded administrative experience which will allow them to effectively handle a variety of progressive administrative projects and tasks. The ideal candidate will have 3-5 years working on site in a construction setting.
 
The job duties include but are not limited to:

  • Type variety of documents including majority of site specific correspondence.  Maintain/set up sophisticated filing systems using EllisDon project management system.
  • Log information into EllisDon's project management system.
  • Answer phones - screen/handle routine and/or non-critical items - pass others on to supervisor.
  • Ability to transcribe meeting minutes.
  • Log information into EllisDon's project management system.
  • Coordinate receipt and processing of submittals from sub or vendor to include preparing for PM's approval, architect's review, preparing logs and returning to originator. 
  • May compile and prepare various reports for supervisor's use (requires analysis and comparison of data).
  • Manage site office to include maintenance, cleaning, equipment and supplies.
  • Ensure continuance of office routine in supervisor's absence.  May write reports, letters, memos etc. for supervisor's signature.
  • Coordinate and process general administrative work (time sheets, vacation requests, supply requisitions etc.) for supervisor's signature.
  • Responsible for continuously expanding and updating professional knowledge and honing training skills in order to enhance individual and team innovation and productivity.
  • Perform additional assignments per supervisor's direction.
Skills, Knowledge, Qualifications and Experience:
  • Educational and experience requirements include high school diploma, plus one or two year's business school, or the equivalent combination of training and experience. 
  • A minimum two years secretarial and administrative experience is beneficial. 
  • Working knowledge of business procedures, letter and report formats and an ability to type 65-70 wpm accurately. 
  • Must have working knowledge of computer systems, word processing and spreadsheet applications. 
  • Previous experience and knowledge of the construction industry is preferred.
