Contract: 6 months to start
Duties and responsibilities include but not limited to:
- Coordinate the department’s on-call schedule (weekly)
- Verify camp charge reports for department (weekly)
- Collect and compile PowerPoint slides for the department month end presentation and submit for review (monthly)
- Process catering requests, vehicle application passes, camera pass forms, visa application forms, etc.
- Update authorization matrices for forms that department supervisors can approve
- Enter Travel Approval Requests for supervisors
- Order business cards, safety glasses, special order stationary items, special order office furniture, thank you cards, etc.
- Process PPE and coverall orders for new hires
- Manage department site vehicle sign-out sheets and maintenance schedule, assign taxi certificates when required
- Manage department laptop, projector, and camera sign-out sheets
- Process outgoing courier requests, provide postage for and mail requests
- Assist with entering contractor term extensions into the system
- Assist with data entry (ie. onboarding information, field walk-downs, etc. into tracking spreadsheets – these would be one-time data entry projects to help get caught up)
- Assist with electronic filing system (Livelink) as an expert user (includes understanding/creating file structure and editing permissions for user groups)
Provide Backup For:
- Onboarding new hires and contractors
- Managing safety training for department personnel and new hires
- Managing department office space and IT equipment orders
- Planning department meetings and events
- Collecting materials/presentations and recording action items for the Leadership Team Meeting (weekly)
- Tracking and submitting signature requests for documents that require the department manager’s signature
- Sending department and site-wide communications
- Coordinating visitor site tours
- Tracking co-op student recruitment
- Updating organizational chart for department
- Assisting with myGPS course/training questions, checking attendance, entering new courses, etc.
- Tracking Engineering Work Request forms
- Managing department volunteer program/tracking
- Managing and following-up on data entered into PEAK (our meeting/action item tracking program)
Skills and Requirements:
- 3-5 years of Administrative experience;
- Impeccable attention to details;
- Ability to work under the deadlines;
- Proven record of organizational skills;
- Excel skills (Candidate will be asked to pass Excel proficiency test)
- Presentation editing skills (PowerPoint)
- Strong communication skills
