The YMCA is a charitable, mission-based organization dedicated to the development of thousands of people in spirit, mind and body. The YMCA of Wood Buffalo is seeking a motivated individual that will provide reception and administrative support to the YMCA Employment Link Office.

The Position

Employment Link is a bilingual program (English & French) fully funded by the Alberta Government, which offers employment services to French speaking Canadians and Immigrants. Our environment is extremely high paced and very diverse; we welcome over 600 clients per month from over 50 different countries.

The successful candidate should be fully bilingual in English and French, outstanding customer service skills and high sensitivity to the needs of populations from diverse cultures and experiencing language barriers.

Key Responsibilities:

Reception

  • Provide Employment Link’s clients with reception services by welcoming and directing clients, answering the phone in both English and French and responding to general inquiries
  • Represent YMCA Employment Link professionally at all times
Administrative Assistant:
  • Schedule appointments and conduct phone calls to follow up on client’s progress
  • Responsible for maintaining CSTS records
  • Set up clients on the CSTS computerized training program
  • Assist clients with computer usage related questions in the employment centre
  • Assist clients when using the phone, fax, copier and scanner
  • Maintain up to date master forms
  • Update the Job Board on a daily basis
  • Take meeting minutes and circulate the information among staff in a timely fashion
  • Maintain office environment organized, uncluttered and clean
  • Responsible for maintaining stationary and office supplies inventory
  • Assist the Employment Link staff with data entry
  • Organize, file and maintain paper and electronic records
  • Perform duties correctly in a safe and efficient manner
  • Assist as required with other administrative duties
Qualifications:

Education
  • Post-Secondary Education in office Administration or related diploma is preferred
Experience
  • 1 to 2 years of administrative/customer service experience in a busy office environment
  • Experience working in a team environment with diverse cultural groups; high needs groups and  populations experiencing language barriers
Knowledge/Skills
  • Fully Bilingual English – French
  • Excellent written and verbal communication skills
  • Advanced skills in cMS Word and Excel in a must
  • Comfortable working around a diverse group of individuals (abilities, ethnicities, cultures and religions)
  • Demonstrated courtesy and patience when dealing with clients and office staff
  • Able to follow directions accurately
  • Must have a high level of energy and positive attitude
  • Ability to multitask in a fast paced environment with multiple demands and under stressful conditions
