Job Description

This position provides overall administrative support to a program within addiction and mental health and to clinicians working in the assigned office, clinic, or department. The successful candidate will deal with variety of tasks requiring a considerable degree of knowledge, independence, and initiative. You will be expected to handle interactions with the general public, multi-agency professionals and clientele in a confident, skillful, professional and sensitive manner. You will demonstrate a professional supportive tone of empathy in approach to all within our clients and perform administrative responsibilities with accuracy and efficiency.


  1. Process invoice and expense accounts; assist with purchasing and other related duties.
  2. Office duties include distribution of mail, photocopying, faxing, typing from draft, dictation or general instruction material, minute taking and maintaining filing system.
  3. Answering phones, process/manage/track referrals, schedule client appointments, update demographic information.
  4. Initiative and maintain filing in electronic databases.
  5. Enter, update, and search for information using computerized information systems.
  6. Provides a variety of administrative support functions to the mental health or addiction staff as needed. Works independently on occasions when other staff is not available and provides cover off for secretary on occasion.


  • Post-secondary Business or Office Administration Diploma/Certificate
  • Equivalent experience will be considered
  • Non-Violent Crisis Intervention (NVCI) certification and BCLS-HCP/First Aid certification (willing to train)
  • File management and creation experience required
  • Previous clerical experience in Addiction or Mental Health setting would be an asset
  • Previous community addiction or mental health experience preferred
  • 2 years previous experience in related position in a busy heath care environment required
  • Excellent typing, computer and navigation skills required
  • Must be proficient in working with Microsoft Office Suite and must demonstrate the ability to learn new applications
  • Knowledge and familiarity with Meditech is an asset
  • Possess the willingness and ability to adapt to new situations and the ability to learn specialized software applications
  • Knowledgeable regarding those from varied cultures/community backgrounds are preferred
  • Demonstrated ability to attend to persons presenting in crisis
  • Knowledge of mental health terminology is an asset
  • Ability to deal courteously and effectively with clients with a variety of addiction and mental health issues
  • Effective communication and empathetic interpersonal skills, and a demonstrated proficiency in oral and written language skills
  • Able to set priorities in the face of multiple demands, work productively, and problem solve
  • Must be able to exercise judgment, professionalism, diplomacy and discretion particularly when dealing with highly sensitive confidential issues and conflict resolution

  • All professions must provide proof of licensure or registration with the approved Alberta regulatory college, prior to commencing duties with AHS where applicable:
  • Regulated health professions under the Alberta Health Professions Act and Health Disciplines Act will be required to provide an original copy of a valid practice permit before commencing their duties with AHS. 
  • Other professions governed by government acts, college or regulatory body requirements may be required to provide additional documentation.

Addition Information:

In addition to a competitive rate of pay, AHS currently has a Fort McMurray Allowance in place to an annual maximum of $12,480. This allowance is non-pensionable and is payable on an hourly basis for all hours paid at the basic rate of pay.
