Legislative & Legal Services Department
This is a permanent, full-time position working thirty-five (35) hours per week.
With some independent action, the Legislative Assistant coordinates Council meetings through assembling of agenda packages, recording and transcription of Council meeting minutes (involves frequent participation in evening meetings); facilitates Council’s attendance at conferences, meetings and events; liaises with external agencies/individuals and municipal staff with respect to scheduled Council activities; provides administrative support to Council and Legislative and Legal Services staff, as needed; develops and maintains databases and records systems for all Council and legislative records and assists in special projects (ie: elections), as required.
Qualifications:
- Grade twelve (12) or GED equivalency is required.
- Successful completion of a two (2) Year Office Administration Diploma and minimum three (3) years related experience OR Successful completion of a one (1) Year Office Administration Certificate and minimum four (4) years related experience OR Successful completion of post-secondary training in Microsoft Office programs and minimum five (5) years directly related experience .
- A minimum of one (1) year practical experience related to recording and transcription of minutes in a formal setting an asset.
- The successful applicant will demonstrate a high degree of tact, diplomacy, professionalism, discretion, confidentiality and independence, combined with exceptional listening, communication (oral and written), interpersonal and organizational skills
- Shorthand, speedwriting or above average keyboarding skills (minimum 70 wpm)
- Working knowledge of governing legislation (ie: Municipal Government Act, Local Authorities Election Act, Freedom of Information and Protection of Privacy Act) and parliamentary procedure (Robert’s Rules of Order) is preferred.
- The successful applicant will also possess decision making, research and analytical skills, and a high degree of proficiency with Microsoft Office software.
- Salary $28.87 per hour (Probationary rate)
- $31.56 – $33.82 (Permanent rates)
